Tools of the organization. The primary tools in use to disseminate information consist of the use of an e-mail distribution list and the shared drive. The Assistant S3 manages the distribution list and the shared drive is open to all. The distribution list fails to update when new personnel enter the unit. This fails to disseminate information to every leader. The shared drive does not have a set system for the storage of documents. Failure of the tool leads to formal after action reviews and lessons learned being stored away in places not all leaders can find. There is duplicate information locations not being managed and contain out dated and non-applicable data. The break down in the storing and filing leads to leaders failing to find applicable information for upcoming events. Recommend appoint a single manager to track the S3 distribution list. New leaders of E6 and above automatically added to the list. Relook the SOP concerning the management of the shared drive. Place a 90-day suspense to update SOP and then disseminate to the unit. Second recommendation for the shared drive, appoint one to two managers to file and manage information. Managers will purge information once it because outdated and replace with current information. The managers will vet all additions to the shared
